Volunteer Opportunities – Call for Volunteers

Running a bike race takes a whole community, and we need your help! Each year, a small group of dedicated volunteers organizes the MATTS and ToIL/WI race series. We’d love more hands on deck to share the workload, keep these races thriving, grow our sport by attracting new racers, and – most importantly – ensure the races are as safe as possible.  Volunteer Opportunities are calling you!

If every racer volunteered just once a year, we’d be in great shape! Here are a few ways you can pitch in. Your family members and friends would also be welcomed as volunteers.  If they are going to be out at the race anyway, why not volunteer and become a key part of the experience! Take a look, then email us at info@wiilcycle.org to let us know how you’d like to help.  If it is at a specific race, we will put you in touch with the race promoter to schedule where you will be needed.

Board Member Volunteer Opportunities

Currently the board is fully populated but the next elections will be happening in the fall of 2025 for the following positions:

  • Vice President
  • Secretary

The following positions will have elections in the fall of 2026

  • President
  • Director of MATTS

And finally the following positions will have elections in the fall of 2027

  • Treasurer
  • Director of ToIL/WI
  • Director at Large

Then we start the entire cycle over again. Each board member should declare their club membership and no bike club can have more than one member seated on the board at any one time.

Race Day Volunteer Opportunities

If you are interested in being a volunteer for a race, we can put you in contact with the race promoter to coordinate your activity. An incomplete list of roles is below.

Course Marshals

For each race there is a need for course marshals at each intersection and at a turn around. The number of marshals vary depending on the course.

Scoring

With some of the future projects we have in mind, we need more folks at the finish line to help tabulate results.

Racer Check In

We always need someone to check in each of the riders and hand out their numbers (if needed). Also they may need to handle day of registration and deliver the updated start sheets to the Start Line Official.

Photographer

We always have a need to get photos of our races.

Liaisons

We need individuals to help connect and contribute with other groups we have identified. Included are:

  • Triathletes
  • Cycling Race Clubs not already represented

Content Creator Volunteer Opportunities

We have a large need to create content on this website, on our social media accounts and in the physical world. Items would include

  • Social Media posts
  • Race reports
  • Venue reviews
  • Training tips
  • Post race meetups
  • Artwork
  • And cool things we have not even though of!

Project Support Volunteer Opportunities

We as an organization have many ideas we just don’t have time for. Below is an incomplete list of things we would love to do:

  • Electronic timing – We need to investigate what is the current state of the art with respect to timing of Time Trials and Road Races. Things like Race Ranger have changed the landscape, will it work for us and what would the costs be? Would it work for Road Races? (probably not) Could we have a system to follow the dots during a race?
  • Results publishing – Related to electronic timing is how can we publish the race results in real time? We have looked into using ResultsSheet from the UK but could not make it work for our system. The change in points we implemented this year was one of the items that came out from that work.
  • Reusable Race Numbers – Maybe have a system where folks can get custom race numbers they use all year (or multi year). Maybe have rider’s name instead of just a number? Do we give these out to the racers who qualified with enough rides last year? What if they forget it at home? Thoughts might be to have just a stack of classic numbers for day of sign ups or those who forgot theirs.
  • Brick Sessions – Another idea was to have running loop defined from the finish line (or parking lot) of the TT with bike stands where the racer can place their bike when they are done and swap shoes and go for a run. Think of a T-2 Transition area from Triathlon.
  • Your idea Here – What other projects you’d like to see WI/IL take on and would assist in?

Race Promoters

We have a need for more race promoters. Currently we have about 6 promoters, each doing more than one race. Ideally we can spread the love across more groups, course, etc. Check out the Promoters Handbook for details about what it means to be a race promoter.

Race Officials

Just like our ongoing need for more Race Promoters, we also have a need for more Race Officials.
